Administrative Officer

Your Day-to-Day Tasks Include:
- Infrastructure and Facilities management:
- Leasing arrangement for office space, space management & optimization.
- Vendor hiring /Monitoring & management of Outsourced Services.
- Contract Negotiating with & finalize Service Agreements with reliable contractors for execution of servicing works as per budgeted parameters.
- Assist in finalize scope of work, coverage & timings for all AMC’s.
- Coordinating with Building owner and maintenance team as and when required.
- General Administration:
- Ensuring effective rendering of services including Housekeeping, Cafeteria, courier services, office equipment etc. to enable smooth flow of day to day operations.
- Ensuring Repairs & Maintenance of Office Equipment & Machinery within AMC’s, SLA’s defined for downtime of equipment’s i.e. air conditioners, Bio Matric System , CCTV’s, etc.
- Smooth & quality supplies of office consumables like stationary, pantry consumables, housekeeping materials, etc.
- Bills & invoices verification, processing of lease rentals.
- Statutory compliance in respect to 3rd party contracts. – monitor and manage interactions with all external parties related to administration department.
- Overseeing functions pertaining to organizing VISA, Travel, Accommodation, Tickets & Company Events.
- Maintenance and accounting of petty cash on day-to-day basis.
- Providing IT support to the staff. Maintaining control of access rights, security settings & user Privileges, Laptop Configuration for new Joiners.
- Basic knowledge of laptop repair & maintenance
- Maintaining record of electricity consumption and reading.
- Employee Group Insurance
- All formalities related to Employee Joining & Exit
- Asset Management
- Proper filing & record keeping of all agreements, contracts, purchase orders.
- Taking requisition, following the purchase procedure, receiving, recording, handing, storing, utilization, maintenance & scrapping the asset.
- Employee IT/Software Access:
- Maintain a list of all cloud software by team, with credentials.
- Segregate based on single ID accounts or team-access accounts.
- Maintain a list of essential software’s by team, which includes a list of software to provide such as email, slack, CRM (in case of marketing/sales/ops) when someone new joins.
- Removing people from all access when they leave, after data handover is complete.
- Audit once a quarter to remove people who have left but were missed.
- Reset password of single ID accounts, once a quarter.
- Creating/Deleteing/Suspesnion of Gmail,Slack & Notion Account
- Asset Management
- Proper filing & record keeping of all agreements, contracts, purchase orders.
- Taking requisition, following the purchase procedure, receiving, recording, handing, storing, utilization, maintenance & scrapping the asset.
